Private Sports Booking Policy
1. Introduction
This policy sets out the conditions for private sports bookings of school facilities by groups of friends and family. It ensures that all users understand their responsibilities and that the facilities are used safely and appropriately.
2. Use at Own Risk
Private bookings are made on the understanding that all participants use the facilities at their own risk. The venue accepts no liability for injuries, accidents, or loss of personal property during the session.
3. Supervision & Responsibility of the Booker
The person making the booking is fully responsible for the safety, well-being, and conduct of all participants, particularly those under the age of 18. All children and vulnerable adults must be supervised at all times by a responsible adult. The booker must ensure appropriate supervision and adherence to this policy throughout the session.
4. No Spectators Policy
All attendees of private bookings must be active participants in the session. Spectators, including non-playing adults and children, are not permitted on-site during the booking. This is to ensure safety, manage capacity, and maintain the intended use of the facilities.
5. Facility Use & Safety
The individual making the booking agrees to:
Ensure that all attendees adhere to this policy.
Leave the facilities in a clean and tidy condition after use.
Report any damage or safety concerns immediately to the school.
6. Fire Safety & Emergency Procedures
All bookings must adhere to fire safety regulations, including ensuring that the number of attendees does not exceed those specified at the time of the booking and, therefore, the facility's capacity limits.
Fire exits must be kept clear at all times, and attendees should familiarise themselves with evacuation routes upon arrival.
In emergency situations, such as first aid incidents, the leisure supervisor on-site must be notified immediately.
7. Compliance & Enforcement
Failure to comply with this policy may result in the cancellation of future bookings. The site team reserves the right to refuse access or terminate a session if the policy is not followed.
8. Policy Review
This policy will be reviewed regularly to ensure it remains effective and aligned with safeguarding and safety standards.
